We are seeking an Assistant, Recruitment and Admissions & Financial Aid who is detail-oriented, service-driven, and motivated by supporting students through critical stages of their academic journey. This role is well suited for someone who thrives in a dynamic, people-focused environment and enjoys balancing administrative excellence with meaningful student interaction.

Position Summary

The Recruitment and Admissions Assistant has a strong customer service role, primarily responsible for the day-to-day administrative support of the Recruitment and Admissions and Financial Aid departments.

Reporting to the Manager, Recruitment & Admissions and Manager, Financial Aid & Awards.

Duties and Responsibilities

  • Process and upload student application packages into Jenzabar Recruitment Manager.

  • Input data (Jenzabar Recruitment Manager and Jenzabar Financial Aid) for the Recruitment and Admissions and Financial Aid and Awards departments.

  • Assign follow-up tasks to the Recruitment and Admissions staff (i.e., calls, emails, text).

  • Restock all enrolment materials around campus in a timely manner (e.g., Library, Reception, etc.).

  • Create and maintain office files (e.g., events, applications, etc.).

  • Coordinate materials and display bookings as requested from departments and the institutional calendar.

  • Manage incoming and outgoing mail for the Recruitment and Admissions department (i.e., incoming materials uploaded to the database and outgoing materials, as per the annual calendar).

  • Provide customer service support (i.e., inquiries from applicants and other interested parties).

  • Host campus visits as required with the Recruitment and Campus Visit Coordinator.

  • Assist the Recruitment and Admissions and Financial Aid departments with projects and events (e.g., Presidential Scholarship, Financial Aid application deadlines, etc.).

  • Download student scholarship and bursary applications for review.

  • Input Financial Aid awards to student accounts and notify students of upcoming awards and disbursements.

  • Update the Recruitment and Admissions and Financial Aid departments’ webpages and bulletin boards.

Qualifications

Education and Experience

  • Undergraduate degree.

  • Experience that demonstrates the ability to work in a student services or enrolment-focused environment.

  • 1–2 years’ experience working in enrolment.

  • 1–2 years’ experience using a student information system (e.g., Jenzabar).

  • Experience using computer technology, including Microsoft 365.

Skills

  • Ability to learn quickly and maintain substantial knowledge of undergraduate and graduate programs offered by the institution.

  • Ability to host individuals or groups of students and parents for campus visits or tours.

  • Excellent attention to detail.

  • Strong verbal, written, and problem-solving skills.

  • Strong organizational and time management skills.
